Small-business bookkeeping cost: compare the scope, not just the price

A practical scope checklist and worked examples for comparing a bookkeeping quote, including monthly transactions, cleanup and optional AP/AR support.

Published October 14, 2026 · DaxCents editorial team

Your bookkeeping cost depends on the work included, the volume and condition of your records, and any additional support. A low monthly price is useful only when you understand those boundaries. At DaxCents, the monthly base is $89 for up to 200 combined transactions, with $0.35 for each additional transaction. Historical cleanup and optional accounts payable or receivable support are separate.

This guide explains our own offer and a suggested way to compare quotes. It is not a claim about the average U.S. price or the cheapest provider.

Eight questions before accepting a quote

  1. Which months does it cover? Separate ongoing work from historical periods that need catch-up or corrections.
  2. Which accounts and entities are included? Give the provider your account list and reporting needs rather than assuming the headline price covers every business you own.
  3. How is a transaction counted? Ask how transfers, duplicates, split records and corrections are handled. At DaxCents, a debit and its matching credit are not two separately billable transactions; confirm your counting scope before work starts.
  4. What information must you supply? Statements and supporting documents do different jobs. The IRS recordkeeping overview explains that transaction documents contain information used in your books. A payment description alone may leave a bookkeeping question unresolved.
  5. Who checks the work? Find out who reviews unclear items and gives final approval. Our model uses AI assistance with a human responsible for review and final approval.
  6. What support time is included? DaxCents includes one hour with your bookkeeper monthly and unlimited email support. Initial email response is within four business hours during your agreed support schedule; that is not a promise to resolve every issue within four hours.
  7. What is separate? Ask about software, taxes, payroll processing, tax filing, historical cleanup and work outside the agreed engagement. A bookkeeping quote does not imply those services are included.
  8. What happens when volume changes? Request the calculation and agree when scope changes are discussed. A published overage rate helps you estimate; it does not remove the need to agree service responsibilities.

Three examples using DaxCents pricing

These are illustrative calculations, not customer outcomes. Software, taxes and out-of-scope work are excluded.

Example Calculation Estimated cost
200 monthly transactions $89 base, no extra transactions $89/month
300 monthly transactions with AP support $89 + (100 × $0.35) + $200 $324/month
200 monthly transactions plus 2,000 historical cleanup transactions $89 recurring; 2,000 × $0.89 separately $89/month and $1,780 one-time cleanup

Accounts payable support and accounts receivable support are $200 per month each. Selecting both adds $400 monthly. Document volumes, follow-up work and approval responsibilities are agreed before onboarding. An AP engagement does not automatically authorize a provider to pay bills on your behalf.

Can bookkeeping stay under $100?

The DaxCents base is $89 for up to 200 monthly transactions. At 231 transactions, the calculation is $89 + (31 × $0.35) = $99.85 before optional services and separate costs. At 232 transactions, it is $100.20. With unchanged agreed scope and no add-ons, 231 is the highest whole monthly transaction count below $100. This explains the boundary of the offer; it is not an unlimited under-$100 promise.

Use the pricing calculator to compare volume and add-ons. If your historical records are incomplete, discuss the documents and periods before treating a transaction-based cleanup estimate as a final engagement price.

Bring a simple scope summary to the call

List your entity, accounts, accounting software, typical monthly volume and any older periods needing attention. Add the reports you need and the questions you want help answering. Share access through the agreed onboarding process rather than putting bank credentials or private financial records into a booking form.
